Authorize the Supervisor and Clerk to enter into a Service Agreement with ITRight to enhance the Township’s network and cyber security system for a cost not to exceed $65,000, subject to Township Attorney approval


BOARD ACTION REQUESTED:

Authorize the Supervisor and Clerk to enter into a Service Agreement with ITRight to enhance the Township’s network and cyber security system for a cost not to exceed $65,000, subject to Township Attorney approval.

BACKGROUND:

Major cyber security breaches, ranging from the federal, state, and local levels have increased significantly in the past year. This disturbing trend is combined with the much greater reliance on software access to conduct our daily work due to the pandemic. With so many changes happening so fast it is not possible for a small (currently two, planning for three personnel) IT Department to stay on top of it anymore. Flaws are being found in common software so often that IT is regularly put on their heals trying to deal with the daily tasks at the same time as researching and mitigating risks caused by these flaws. Even when we identify solutions and security patches, after spending significant time, we cannot be certain how effective they are and how well they coordinate with other state IT solutions.

 

In the past couple months, we have been testing ITRight’s Centralized Services to be more proactive in patching and security. Coming to the end of this trial, we would like to partner with ITRight, continuing this service as well as adding their next levels including monthly onsite security reviews.  ITRight works with municipalities throughout the State of Michigan and can provide us with industry-standard solutions and security patches on a regular basis. Not only will these reviews help uncover weak points, but help fix them as well. These services could also offset existing annual costs for replaced services like our current backup systems. This would likely require hardware expenses up front but then the annual current expenses would be removed.

 

Pittsfield Township has used ITRight for different levels of support for many years so there is already a working relationship established. ITRight is also used by many local governments around the State of Michigan so they have a very deep knowledge in this area. Much deeper than a standalone IT department or even smaller IT support companies can provide.

IMPACT ON TOWNSHIP'S BUDGET:

Payments can be made quarterly or yearly and are based on the number of computers and servers covered. The first year, $64,800 will be charged to Contingency (998-988) with a revised FY2021 Budget

CONFORMITY TO TOWNSHIP POLICIES:
